1. Confirm the destination-country rules first
Start with the rules that determine whether the vehicle can be registered and sold. Check maximum vehicle age, left- or right-hand-drive requirements, emission standards, roadworthiness inspection, import permits and any restrictions on repaired or accident-damaged vehicles. For EVs and plug-in hybrids, also confirm charging compatibility, battery documentation and any special transport or customs requirements.
Ask a licensed customs broker or the relevant local authority to verify the current rules. A sourcing company can organize information and documents, but final eligibility is governed by the destination market.
2. Turn the rules into a precise sourcing brief
A clear brief should include model, model year, powertrain, trim, quantity, preferred colors, steering position, budget and destination port. For used vehicles, add maximum mileage, acceptable repaint history, minimum tyre condition and any equipment that must be present. Screenshots are useful, but written specifications prevent misunderstandings when similar trims have different safety, battery or infotainment features.
3. Verify the seller and the vehicle
Before payment, confirm the seller identity, VIN, registration or ownership documents, invoice details and export eligibility. A used-vehicle inspection should cover visible body condition, structural areas, odometer consistency, warning lights, tyres, glass, interior equipment and a road or functional test where practical. For an EV or PHEV, request available battery health information and check that charging accessories match the destination market.
4. Calculate landed cost—not only purchase price
Compare offers on a like-for-like basis. The realistic budget may include the vehicle, inland transport in China, inspection, storage, export handling, port charges, freight, insurance, destination duties and local clearance. A cheaper vehicle can become the more expensive option if it requires repairs, misses a document or waits too long for a suitable vessel.
5. Prepare the shipping and document set
Typical documents may include a commercial invoice, packing or vehicle list, export declaration, certificate of origin when applicable, inspection documents and bill of lading. The exact set depends on the vehicle and destination. Confirm names, VINs, quantities and consignee details before submission because corrections after departure can create delays.
